Apply now A unique opportunity has arisen for a Team Assistant who wishes to make a career move and work within this FTSE100 Real Estate Property Company based in W1. The Team Assistant will be based within the Retail Division of the Company and you will be working for two specific teams within the Retail division. The Role You will support two division heads along with their wider teams support at a FTSE100 Real Estate Property Company. You will support the business as a team assistant with the opportunity to get involved in a number of administrative projects whilst being part of a fast-paced, sociable and welcoming team. To provide efficient and effective support to the Head of one division.To provide efficient and effective support to the Head of another division.To provide efficient and effective support to their wider teams. Key Responsibilities Diary management - arranging meetings/conference calls and booking meeting rooms, including coordination of recurring large meetings with external guestsManaging regular meetings, collating and agreeing the agenda, producing minutes and following up actions in the required timescalesMaintaining our central programme action plannerProducing written documents to tight deadlines ensuring high attention to detailCreating clear and compelling PowerPoint presentationsArranging travel - organising flights, train tickets, hotels, site visits etc.Arranging internal and external department events, including social events, contributing to a positive environment Building, developing and managing relationships with internal and external partiesEnsuring the Customer Relationship Management system (Salesforce) is kept up to date, in particular maintaining contactsGeneral administration - photocopying, scanning, binding documents, filing, expenses, payment of invoices Required Skills Excellent organisational and communication skills, both oral and writtenExcellent attention to detail and accuracyStrong knowledge of PowerPoint, MS Word, Outlook, Excel and Adobe Acrobat ProExperience working in a similar PA/administrative roleInterest in the real estate sectorGraduate preferred Required Behaviours A confident, pro-active, hardworking and highly professional individualA good team player, with positive attitude and eagerness to get involvedSelf-starter who uses own initiativeSeeks out, accepts and acts on feedbackWilling to learn new skills and toolsWorks to a high standard and always strives to improveFlexibility - able to deal with different levels of workload, remaining calm under pressureAwareness of and ability to maintain confidentiality The successful candidate is highly likely to be a graduate, although this is not essential.
